If you have a flier you want posted in the residence halls, please review and complete the form.
Signage
Any signage approval for Student Organizations should be submitted through the Center for Leadership and Civic Engagement (CLCE) using the "Temporary Campus Signage Request Form." Please allow up to 5 business days for these requests to be approved.
Indoor Space Reservations
Housing & Residential Education (HRE) offers multipurpose spaces to support departmental, programmatic, and academic initiatives.
Eligible Groups
Academic Reservations
Instructors wishing to reserve a multipurpose space for academic courses should contact livinglearning@usf.edu for the request to be reviewed by the Program Director for Academic Initiatives and Living Learning Communities. Multipurpose spaces are reserved for credit-bearing courses supporting living-learning programs and departmental academic initiatives. HRE reserves the right to determine if a course meets the requirements for space reservations. There will be no charge to the department for these approved courses.
All requests for the fall semester should be submitted no later than May 15 to livinglearning@usf.edu, and all requests for the spring semester should be submitted no later than November 15. HRE is unable to accommodate any summer space reservations unless the course is associated with a residential-based program. A request is not a guarantee of space. The requester will receive confirmation of date, time, and location after the deadlines listed above.
HRE may be unable to accommodate all requests and reserves the right to deny any request. For courses held in The Village multipurpose rooms, card access will be granted by the Coordinators for Academic Initiatives in Residential Education prior to the beginning of the semester. Any card access changes should be requested through livinglearning@usf.edu.
Living Learning Communities
LLCs hosting events supporting academic or programmatic initiatives may reserve multipurpose spaces through the Coordinators for Academic Initiatives in Residential Education if the event exclusively supports residents in the LLC. There will be no charge for such events. For events not solely exclusive to LLC residents, the department must request use of the space (See "University Departments" section). Student Organizations (i.e. College or LLC Student Councils) are not eligible to reserve spaces through HRE.
Academic Initiatives
Faculty and Academic Partners wishing to reserve a multipurpose space for programmatic initiatives exclusively for residential students or in collaboration with HRE should contact livinglearning@usf.edu for the request to be reviewed by the Program Director for Academic Initiatives and Living Learning Communities. All requests should be submitted 4-6 weeks before the date of the program to livinglearning@usf.edu. A request is not a guarantee of space. The requester will receive confirmation of date, time, and location once the space reservation is confirmed.
University Departments
University departments may reserve multipurpose spaces when available. HRE is unable
to accommodate recurring reservations. Departments will be charged for use of the
space according to HRE's rental rates and will be billed by interdepartmental transfer.
Departments may inquire about rates by emailing housingspacerequest@usf.edu. Departments shall not use their privileges for access to HRE multipurpose spaces
inappropriately for another group. Departments are not to reserve space for meetings,
which they are not directly involved in, and present at. Multipurpose spaces in The
Village are unavailable to university departments.
Camps and Conferences
Camps and conferences approved to be housed on the USF-Tampa campus may reserve multipurpose spaces during their on-campus residency. Reservations will be reviewed and coordinated by Housing Services and groups will be charged for use of the space according to HRE's rental rates. Camps and conferences should email guesthousing@usf.edu for space reservations. Multipurpose spaces in The Village are unavailable to camp and conference groups.
HRE reserves the right to determine if an external organization is eligible to reserve a multipurpose space.
Student Organizations
Student organizations are unable to reserve spaces except for Greek organizations housed on the USF-Tampa campus. Eligible Greek organizations should consult the Greek Village Standard Operating Guide. Village multipurpose spaces are unavailable to approved student organizations.
Room Set-Up and Use
- No special set-up requests will be accommodated except in the following spaces:
- Argos Study Lounge, Holly J, and Holly L
- Any special requests for these rooms should be included in your request.
- Additional furniture cannot be added to the room unless rented from an outside vendor, in which case the organizing group is responsible for coordinating adding and removing the furniture. Rooms come "as-is" with the furniture (chairs/tables) already present in the multipurpose space.
- For users of Beacon 1010: indicate in the "Additional Information" section of the submission request if you request the dividing wall to be removed from the space. These requests should be made 2 weeks prior to the reservation.
Cancellation Guidelines
- HRE reserves the right to cancel an indoor reservation.
- If the university is closed for an emergency or inclement weather, all events are cancelled.
Outdoor Space Reservations
Housing & Residential Education (HRE) reserves the outdoor spaces listed:
- Argos: Basketball court, volleyball court and grill area, Castor Beach, Castor/Kosove lawn
- Cypress & Maple: Cypress field
- Greek Village: Quad area, Fletcher field, volleyball court
- Holly: Holly Performance Lawn (located behind Holly H, East of Holly L and North of Holly K)
- Juniper & Poplar: South Entrance, North Courtyard, West Lawn, POD Market Entrance, Juniper-Poplar Lobby
- Magnolia: Grill area, volleyball court
- The Village: Outdoor entrance area to the The Hub Dining and Housing facility (amplified sound prohibited)
Eligible Groups
Outdoor spaces can be reserved by registered student organizations* and departments* recognized by the ßÙßÇÂþ». HRE full-time and graduate staff may also reserve outdoor spaces.
*The Greek Village and Magnolia Pools cannot be reserved by outside organizations or for events not sponsored by Housing & Residential Education. Exceptions include camps and conferences contracted with Housing & Residential Education. These groups should work with the Assistant Director for Housing Services to reserve pools. Reservations are not guaranteed.
Submissions
All organizations and departments must complete an Event Request Form from USF Facilities Management. You will be contacted by a member of HRE if your event is approved by USF Facilities Management.
